 Purchase Transactions in the Web App

The Purchase Transactions page of the Web app

Here you can:

  • enter new purchase orders and item receipts;
  • receive items based on existing purchase orders;
  • filter transactions by vendor, type, status and date;
  • search transactions by number or inventory site;
  • view, print and edit existing transactions;
  • view purchase orders linked to a specific item receipt, or vice versa.

To enter a new purchase order or item receipt, click Plus   and choose the transaction type.

To view a purchase order or item receipt, click anywhere in the corresponding row of the list.

To edit an existing purchase order or item receipt, click Dropdown icon  in the Action column, then click Edit.

To print an existing transaction, click Dropdown icon , then click Print.

You can view linked transactions for a certain PO or item receipt. Click View in the Lnk Txn column and then click on a transaction number.

The Action menu also lets you clone a PO or receipt, if you need to create a new transaction that exactly repeats an existing one.

Finally, if you want to mark a PO as closed without receiving it, use the Close command in the Action menu.

Filtering transactions and saving views

By default the page shows all purchase transactions for the last 30 days.

Clicking the Filter button opens the filter options:
  1. Vendor
  2. Transactions
  3. Filter by (transaction status)
  4. Site
  5. Date
  6. Assigned user
You can also change the displayed columns by clicking on the Columns icon .

The selected filter options together with columns and sorting options can be saved by clicking the Save View As button.

In the pop up window to save the view options you may decide whether the saved view will be visible to other users as well. Only the Owner and Managers can share their views with other users.

Once the view is saved, it will appear in the right-side panel that can be opened by clicking the left arrow icon next to the Plus button.

To open any view just click on it in the list. The name of the selected view will be displayed at the top of the page.
Using the options button  for the view in the list you may also:
  1. make view default, so that it opens by default when you open Purchase Transactions page;
  2. edit view options;
  3. delete view.
