Creating Price Levels

This section will guide you through the steps to create and manage price levels within the system. There are two methods to create a price level:

  1. Custom price per item
  2. Changing price by a fixed parameter

Follow these steps to create and apply price levels.


1. Creating a New Price Level

  1. Navigate to Sales → Price Levels in the web interface.
  2. Click the Create (+) button to start setting up a new price level.
  3. Enter a name for the price level in the Name field.
  4. (Optional) If you want the price level to be valid for a specific period, click on the Valid Period field and select the start and end dates, then click Apply.


 Note: HandiFox does not read or record price levels created in QuickBooks Online. For consistency, it is best to create sales transactions either in HandiFox Online or QuickBooks Online, not both.


2. Selecting Customers for the Price Level

Price levels can be applied to specific customers. You must define the customer scope for the price level in the Customers tab.

  1. To apply the price level to all customers:

    • Select All customers from the drop-down menu.
    • The list will show all customers with pagination. Even new customers added later will automatically be assigned this price level.
  2. To apply the price level to selected customers:

    • Select Select individually from the drop-down menu.
    • To add customers individually, click Add Line and select customers from the drop-down menu.
    • Alternatively, click Add from list to open a pop-up window where you can check the customers you want to add.
      • You can search customers by fields like Name, Company, Currency, or Email.
      • After selecting the customers, click Add selected.

3. To remove customers:
  1. Click the "x" button on the right side of the customer’s line in the list.


3. Setting a Custom Price per Item



Custom price per item provides you with the flexibility to set up specific prices for items that you type by hand. It also allows creating a price level that applies only to a specific foreign currency.
First, select a currency that you want this price level to be applied to in the drop-down menu. By default, the home currency is selected. 

 The custom price per item in foreign currency can only be set up for the customers with the same currency. If you have already selected customers and decided to change the currency - the list of customers will be updated.
  •  Custom prices set in a home currency can be used for all customers, including customers with foreign currencies. In this case, custom prices will be converted according to the current exchange rate.
  • Custom prices set in a foreign currency can be used only for customers with the same currency. In this case, you can enter precise prices for your products in a foreign currency, overriding the exchange rate.

Now you need to select the necessary customers for this price level. See Selecting Customers.
Next, go to the Items tab to select the necessary items. If you want to apply this price level to all items, simply select "All items" in the drop-down menu. 


 When you select the All items option, the list will show all items with pagination. This doesn't mean that the price level will be applied only to the items that are currently shown in the list. The price level will also apply even to new items that are added after the creation of the price level for all items.

If you want this price level to apply only to one or several items, choose the "Select individually" option. You can either add them one by one by clicking Add Line and selecting from a drop-down menu, or you can click on Add from list.

The Add from list feature opens a pop-up window where you can check the necessary items, which is useful if you want to add them in one bunch. It also allows you to search items by All Fileds, Name, SKU, Description, and Category. You can also sort the list by these columns. When you are done selecting, click on Add selected.

 If you change your mind and decide to delete an item from the list, simply click on the "x" button on the right side of the item's line.

You can search among the already added items by using the search field above the list. You can search by All Fileds, Name, SKU, and Description.

Now, the most important part: type in the necessary price for an item in the Adjusted Price column.

 Note that the currency code is shown next to the header if the foreign currency is selected. The cost is converted to the selected currency according to the exchange rate.

When you are done, click the Save button at the top-right corner of the screen. 


4. Changing Price by a Fixed Parameter


When creating a price rule by a fixed parameter (percentage or fixed amount) you have the flexibility to set up a new price level below or above the base price or cost. Also, you can round the new price to the nearest, up to the nearest, or down to the nearest increment. The values will be recalculated automatically, so you don't have to enter them by hand.



There are a few handy buttons that let you set up the price as you want it to be.

  • First, enter the necessary number in the New Price is field.
  • Next, choose whether you want this number to be a percent value, or a fixed amount by clicking on the respective button:  
  • Select whether the new price level should make the price higher or lower by clicking on the respective button: 
  • Select whether your new price is to be based on the product or service sales base price or its purchase cost
You can, for example, decide to sell a particular item to a customer at a fixed rate of 10% above the purchase cost, or at a fixed amount of $20 below sales base price.
  • Decide what rounding to use. By default, it's set to 0.01 to nearest. You can change the rounding value, as well as the rounding rule to to nearest, up to nearest, down to nearest
 When you have already added the necessary items to your price level, you can check the resulting prices by clicking the Apply button at the rightmost of the parameters. If you find any value here that doesn't suit your needs, simply override it by typing a new price in the Adjusted Price field.

Now you need to select the necessary customers for this price level. See Selecting Customers.
Next, go to the Items tab to select the necessary items. If you want to apply this price level to all items, simply select "All items" in the drop-down menu.

When you are done, click the Save button at the top-right corner of the screen.
